Preparing for your session
Everything you need to get ready for your workshop, showcase or gallery presentation: timing, room equipment, file preparation and what happens on the day.
The essentials
Your presentation must be on a USB drive. You load it directly onto the computer in your allocated room.
There is no option to connect your own computer. All presentations run from the room computer.
All presentations are delivered in person. Remote delivery is not available.
Load your file during the catering break before your session, so your session starts on time.
Timing by presentation type
The requirements below follow the original Call for Abstracts submission instructions, with one change: all workshops run for 40 minutes. The suggested splits are a guide to help you plan; your session chair will keep time.
Workshop
Wednesday 2 December, workshop afternoon · Murdoch University (Boola Katitjin)Workshops give you time to explore an idea or finding and engage the audience in activity and discussion. All workshops are 40 minutes.
SIG Seed Grant workshops: use the activity time to work with the audience on what your project found and what it means for their practice.
Showcase presentation
Thursday 3 & Friday 4 December · Edith Cowan University City CampusShowcase presentations are grouped into topic-based sessions of about 90 minutes, with three presentations per session.
A 5-minute changeover follows each presentation so the next presenter can get set up. It is not part of your slot, and your session chair will close questions at 25 minutes.
As a guide, 20 minutes suits around 10–15 slides. Rehearse to 18 minutes so you have a buffer.
Gallery: poster, video or artefact
Thursday 3 & Friday 4 December · Edith Cowan University City CampusA visual display of practice, on show for the conference. You must be present at your display during the gallery session to discuss your work and network with participants.
See Gallery presenters below for set-up times and what to bring.
Room equipment
Session rooms at both Murdoch University (Wednesday) and Edith Cowan University City Campus (Thursday and Friday) are set up with:
Preparing your file
Format
- Save as PowerPoint (.pptx). PDF is the fallback if you aren’t using PowerPoint.
- Set slides to 16:9 widescreen so nothing is cropped or letterboxed.
- Using Keynote or Google Slides? Export to .pptx and open the exported file to check it before you travel. Fonts, animations and video often shift in conversion.
- Stick to standard fonts (Arial, Calibri, Verdana) or embed your fonts in PowerPoint, otherwise they will be substituted.
Video and audio
- Embed video in your slides rather than linking to it, and copy the video file onto the same USB as a backup.
- Internet is available, but don’t rely on streaming. Anything that must play should play offline.
- Use .mp4 video for best compatibility.
Naming your file
Name your file with your session details and surname so it is easy to find on the room computer, for example:
Thu_Session3_Smith.pptx
Your day and session number are in the conference program.
Back it up
- Keep a second copy on a different USB or in your email or cloud storage.
- Use a USB drive that holds only your presentation files, to make loading quicker.
- Test your USB on a computer other than your own before you leave home.
On the day: workshops and showcase
- Check your room and session time in the conference program before the day.
- Go to your room at the catering break before your session. Workshop presenters: come to your room as soon as you arrive at Murdoch University and load your file before the workshop afternoon begins.
- Load your presentation from your USB onto the room computer and open it to check it displays correctly, including any video or audio.
- Introduce yourself to your session chair and confirm the order of presentations.
- Be in the room when the session starts, even if you are the third presenter.
- Present, take questions, and make way for the next presenter. The 5-minute changeover between showcase presentations is for the next presenter to set up.
Gallery presenters
Posters
- Print your poster yourself and bring it with you. Posters are not printed by the conference.
- Poster size: A0 (841 × 1189 mm) is the maximum and recommended size.
- We provide the mounting material for every poster.
- Remove your poster after afternoon tea on Friday 4 December.
Physical artefacts
- Bring your artefact and set it up at the same time as the posters, before 8:50am on Thursday.
- Tell us in advance via the chat bubble if you need a table, power or anything else to display it.
Looping video
- Let us know you are presenting a video by Sunday 22 November via the chat bubble on this page, so we can have the display equipment ready.
- Maximum 5 minutes, set to loop.
- Closed captions must be built into the video (burned in), as the gallery space can be noisy.
- Supply it as an .mp4 file on a USB.
All gallery formats
- You must be present at your display during the gallery session to discuss your work and network with participants.
Accessible presenting
In keeping with the conference theme, Creating Inclusive Futures, we ask all presenters to make their sessions accessible to everyone in the room.
- Always use the microphone, even in a small room.
- Use at least 24pt text on slides and strong colour contrast (dark text on a light background, or the reverse).
- Describe charts, images and key visuals out loud rather than relying on people seeing them.
- Caption any video you show.
- Repeat audience questions into the microphone before answering.
Questions?
If anything about your presentation is unclear, send us a message using the chat bubble on this page.
